Using "Manage Packets"
Managing all of your Packets, File Cabinets, Third-Party Tools, etc.

Manage Packets (SuitePacsTM) is special type of Container whose Paradigm mimics: An Operation in a Shop Floor Traveler; A Task; A Group of Tasks; A complete Project comprized of mulitple Tasks.

Any number of Documents, Files, and other Packets can be included in a Packet so no matter how complex of a Project, Operation or Task is needed SuitePacsTM can Manage it. SuitePacsTM is treated like any other Document & File regarding: Security; Searchability; Approval & Sign-Off, etc.

SuiteFactory Runtime - "Using Manage Packets"

Do This: Click on the "Manage Packets" Icon to display the Window that is used to Create & Manage Packets which are special Containers for all of your Documents, N/C Files and Sub-Packets. You can assign Packets to File Cabinets, to Parent Packets you can setup Sign-Off & Approval Flow Charts, you can Manage your N/C Files & Documents within Packets, etc. Packets provide the Glue for Complete Control & Management for all you "Documents".

Note: This Window is used for 90% of the dealings you will have with Packets.

Note: The Above Window is but one of many Data Relationship Views that can exists between File Cabinets, Packets, etc. These Views allow you to establish the Data Relationships that best aid you in preforming your Document Management Functions.

You will notice that a few of the Icons in the above View are grayed out indicating that the Resources selected along with present System "State" will not logically allow you access these Functions associated with these Icons. The conditions for activating these will be explained in this Guide.

We will be discussing what Function/Feature is activated for each of the Icons on the "Manage Packets" Window in the order that they are displayed as we go through this Guide. There is an Important Feature that we will briefly cover before continuing and that is how we chose the View with which we are working.

Do This: Click on the "Change View" Icon and the Following Window will be displayed.

Note: The above View Window is used to select the particular Data Relationship Views that best aid you in doing you particular Function.

Important! In the following Guide we have displayed the "Viewing Options" that are used for each View Displayed. Please feel free to change these to fit your particular requirements.

Do This: Click on the "Close" Icon Button in the "Manage Packets" Window and this Window will be closed. The focus will then be returned to SuiteFactory Runtime or one of the other Windows that are Opened. I.e. Manage DNC Files; Manage Controlled Documents, etc.!

Do This: Click on this Icon to Change this View!

Do This: Select the Parent File Cabinet where you want the New File Cabinet to appear as a Sub-File Cabinet and Click on the "New File Cabinet" Icon and the Following Window is Displayed:

Do This: Choose a File Cabinet Name that reflects on the Packets or other N/C Files, Documents & Packets you will be managing in this File Cabinet.

Whichever File Cabinet you have Highlighted before you create a New File Cabinet will become the Parent of the New File Cabinet. You can easily manage File Cabinets by Dragging & Dropping them on other File Cabinets making rearrangement easy!

Do This: Highlight the File Cabinet you want to Delete and Click the "Delete File Cabinet" Icon.

Note: You can only Delete a File Cabinet if you have removed all the Documents, Files & Packets contained in it.

Do This: To set the Properties of a File Cabinet highlight the File Cabinet by clicking on it and then Click on the "File Cabinet Properties" Icon and the Following Window is Displayed:

Important! File Cabinets are one the best ways for individual Users to manage their Documents, Files & Packets. SuiteFactory provides several properties for renaming, setting security and determining how you can automatically import your documents into SuiteFactory's File Cabinets!

Do This: Click on the appropriate Tab for Renaming(Identification), Providing Security or for setting the Import Properties that meet your Requirements.

Import Options:
  • Maintenance Engine Import Path - External Folder where Documents are placed for Automatic Import.
  • Action After Completing Automatic Import
    • Move Source Operating System File to Sub-Folder
    • Delete Source Operating System File
  • Show Name as Dialog When Manually Importing One File - Obsolete doesn't need to be set!
  • Enable Import Packets - Drag Structured Folder(See Below) into Import Folder for Automatic Import or Drag & Drop to Selected File Cabinet and SuiteFactory will Guide you through Import Options(Preferred)
  • Window Folders Structure - Imported as Packet Structure:

Note: If you prefer not to Automatically Import your Documents and or Packets leave the Maintenance Engine Import Path Blank. You can then import Documents & Packets(See Above) by dragging and dropping them from the Window's File System to this File Cabinet or by selecting SuiteFactory's Manual Import Icon.(Details later in this Guide).

Example: The Above Packet Structure could represent a Shop Traveler with several operations which contain Documents & DNC Files for manufacturing an Engine Shaft.

Do This: Highlight a Resource Collection and File Cabinet by clicking on them and then Click on the "New Packet" Icon and you will create a New Packet which is then ready to Populate & Set its various properties:

and completing the operation or by Dragging & Dropping them on the Appropriate Icon

Do This: Highlight the Packet whoes Documents & N/C Files you want to open and then Click on the "Open Packet" Icon.

Important! Depending on the how you have set the properties of each of the Documents & N/C Files(Default Values can be set for all Documents & N/C Files) there maybe many Applications opened simultaneously.

Note: If you are using AutoVueTM and the Documents & N/C Files properties are set to open with AutoVue all of them will be contained within AutoVue's Application as Displayed Below:

Note: As you can see SuiteFactory Opens AutoVue a Third-Party Read-Only Viewer which supports over 220 different formats covering most Drawing Formats and Standard Applications such as Microsft Word, Excel, Access, etc.

Important! If you want to Print the Documents Opened in AutoVue or in another Third-Party Viewer you will need to use that Application to do the Printing.

Do This: Click on an Existing N/C File or Document contained within a Packet and then Click on the "Page Properties" Icon and the Following Window is Displayed:

Do This: Change this Document or N/C File's Properties so SuiteFactory will know how to open the selected Document or N/C File with the associated Native Application, AutoVue (Third-Party Viewer) or with Web Plug-Ins (Depleted) and Click OK.

Note: Any of the above settings can be selected as the default value!

Note: SuiteFactory supports Approval & Sign-Off for all of its DNC Files, Documents & Packets. If configured, SuiteFactory supports two States: Approved & Unapproved. You can setup a simple Sign-off & Approval List choosen from SuiteFactory Users which will establish an ISO9000 File Control System. If you need a more sophisticated infrastructure you can create you own Sign-Off & Approval Lists with Sign-Off Flow Charts to meet any Manufacturer's needs.

Click on the "OK Button" Icon and the Following Window is Displayed:

Note: This Window displays the Packets, DNC Files & Packets that this User has waiting to be Signed-Off for Approval. Clicking on a particular Category(Packets) and then on the OK Buttom which will Automatically Change the View to "Packets Waiting For Sign-Off".

Example: See the Next Section for the Window that is displayed!

Click on the "Sign-off Selected Packet" Icon and the Following Window is Displayed:

Do This: Click on the "OK" Button to Sign-Off & Approve this Packet so it can move to the next Approval Step if you have created your own Sign-Off & Approval Forms & Flow Charts. If you are using the default Sign-Off & Approval this Packet has Final Approval State which allows it for Production.

Important! Once Approved this Packet will no longer be displayed in this View since it is now Approved! After leaving this Window you will need to set a View Option other then "Packets Waiting For Sign-Off".

Note: Click on the Icon to "Select Packets View Mode" Window where you can chose the View Options you want.

Do This: To Import a Packet first Click on the File Cabinet and Resource Collection and then click on the "Import" Icon and the Following Explorer Window is Displayed:

Select Folder Window - Import

Do This: Browse to the Folder you want to Import as a Packet and click on the OK Button and Window Following the next Window will be displayed.

Example: If you are Dragging & Dropping a Folder to a File Cabinet and want to treat this Folder as a Packet see the above Window.

Setting Packet Import Options:

Do This: Read the instructions at the top if this form before proceeding and then chose the appropriate option from the above list and Click OK Button. Depending on your choice you will be interacting with this Window until the Import Operations is complete. See below!

Importing All or Each Packet:

Important! Chose the appropriate option for all or each of the files and Click the OK Button. Continue until complete.

Do This: Select the Packet you want to Export to a Folder and click on the "Copy Packet to Folder" Icon and the Following Window is Displayed:

Do This: Browse to the Folder where you want Copy the Packet or can select from the different Paths displayed above in the various Tabs.

Important! Copying the Packet to an External Folder doesn't delete any of its Documents, N/C Files, Sub-Packets or change any of their statuses within SuiteFactory!

Note: If you want to E-Mail a Packet with all of its Sub-Packets, Documents & N/C Files to a Group or individual SuiteFactory provides that ability!

Do This: Select the Packet you want to E-Mail and Click on the "E-Mail Packet as Attachement" Icon and the Following Window is Displayed:

Do This: Click on the "Send To" Button and the Following Window Will be displayed:

Select Recipients to "Send To" Window

Do This: Select all of the Individual & Group Recipients to whom you what to E-Mail this Packet and Click the OK Button.

Note: You will see these Recipients in the Text Window next to the "Send To" Button. These individual will be sent a copy of the attached Packet!

Select Recipients to Notify Window

Do This: Select all of the Individual & Group Recipients to whom you what to Noitfy to whom this Packet has been E-Mailed. They will not receive the Packet only be notified!

Note: You will see these Recipients in the Text Window next to the "Send To" Button. These individual will be sent a copy of the attached Packet!

E-Mail Packet as Attachment Window Updated

Note: You can add a Subject to this E-Mail and a brief Note at the Bottom. You can also check the checkbox if you want to E-Mail all of the Sub-Packets!

Important! Click the Send Icon to complete the E-Mail. Look at the Setting up E-Mails Guide else where on this Website.

Do This: Select the Packet you want to Copy and click on the "Copy Packet" Icon and the Following Window will be Displayed:

Note: Even though it is not required to assign a Packet to Resource Collections it is recommended that you do. If a Packet is not assigned to a Resource Collection any User Accessing it will need Addition Rights. Normally a User would gain access to this Packet by having access to the Resource Collection(s) to which it is assigned.

Do This: Click the OK Button to complete the operation and the Following Window will be displayed.

Note: Enter a New Name or leave the name as it is. If you leave the name the same and the System is set for multiple versions a new version number will be generated for this Packet.

Do This: Click the OK Button to complete the operation or the Cancel Botton.

Packet Selection Options

  • Click on the Icon to "Select Manage Packets View Mode" Module for Options to narrow your Search
  • Click on the Icon to use the Search Engine to narrow your Search
  • Hold the Cntrl Key when selecting Specific Packets(Use after First using Packet Selection Options 1 & 2 Above!)

Note: You can use the Options above to narrow down the Packet Selections!

Do This: Click on the Delete Selected Packets Icon and the following Window is displayed.

Note: Caution: Make sure you have selected only those Packets you want to delete en masse! Once this operation is complete all of the Packets will be deleted from SuiteFactory.

Important! None of Documents, Sub-Packets and or N/C Files Contained within these Packets will be delected!

Do This: To continue using a Packet by Packet Mode Click the Delete, Keep or Keep All Button or click the Delete All Button.

Note: You can assign a Packet to a Resource Collection(s) which allows Users who have Rights to this Resource Collection(s) to have access to this Packet.
